One-Source Menu and Hours Sync

From Line Check AI. Leak: SYNC. Setup time: about 45 minutes. After that: 10 minutes a month, plus a few minutes whenever your hours change.

What you'll get: one master list of your hours, menu and prices, and a simple routine that keeps Google, Yelp, DoorDash, Uber Eats and your website saying the same thing.

Formats in this playbook:

  1. Written step-by-step guide (with copy-paste prompts)
  2. 60-90 second video script
  3. AI chat coach system prompt

Tools and steps were checked October 19, 2026. These products change often, so if a button has moved, use the help links below for the current version.

Part 1: The Written Guide

Why bother?

When your hours or menu say different things in different places, guests show up when you're closed or order things you don't sell anymore. Each platform is updated separately, so the fix is a single source of truth and a habit of checking it.

The tools (all real and available now)

Tool What it does here Cost Link
Google Sheets (or any spreadsheet) Your master list: regular hours, holiday hours, menu items and prices, and a row for every platform. Free Google Sheets
Google Business Profile Regular hours, Special hours for holidays and short closures (up to 6 days in a row), and "Temporarily closed" for longer ones. Free Set special hours ยท Edit hours
Yelp for Business Regular hours and special hours for specific dates. Free to claim Change your hours on Yelp
DoorDash Merchant Portal Store availability tab: regular menu hours plus "Special hours and closures." If you use a POS integration, DoorDash says to update hours in the POS. Free with your DoorDash account DoorDash store essentials ยท POS integration
Uber Eats Manager Menu hours per menu, item hours, and Holiday hours. POS-integrated stores change hours in the POS. Free with your Uber Eats account Uber: menu and item hours ยท Uber: service and holiday hours
ChatGPT (photo upload) Compare screenshots of each platform against your master list and spot the differences. Image uploads work on the free plan. Free plan works ChatGPT image inputs

Our recommendation for most owners: a free spreadsheet plus a monthly 10-minute screenshot check with ChatGPT. Paid listing-management tools exist, but you probably don't need one for 1-3 locations.

The golden rules

  1. One master list wins. You change the spreadsheet first, then every platform.
  2. If you have a POS that feeds DoorDash or Uber Eats, change hours there, not in the delivery app, or your change may be overwritten.
  3. Set holiday hours ahead, ideally a couple of weeks before each holiday. Google suggests confirming holiday hours even when they don't change.
  4. Check AI's work. AI can misread a screenshot. Before you change anything, look at the platform yourself.
  5. Keep the platform list short. If you don't use a listing anymore, close it properly instead of leaving it wrong.

Step 1: Build your master list (20 minutes)

Use Prompt #1 to turn your menu and hours into a clean spreadsheet layout. Paste the result into Google Sheets.

๐Ÿ“‹ Copy-paste prompt #1: Master list builder

Turn this into a simple spreadsheet I can paste into Google Sheets. Make 3 tabs' worth of tables, separated clearly:
TAB 1 "Hours": day, open, close, notes (one row per day), then a section for upcoming holiday/special hours with date, hours, platforms updated (Google, Yelp, DoorDash, Uber Eats, Website, Instagram/Facebook, Other).
TAB 2 "Menu": category, item, price, available days/times, notes.
TAB 3 "Platforms": platform name, login owner, where hours are edited, last checked date.
My hours: """[PASTE]"""
My menu (or a photo of it, attached): """[PASTE]"""
Platforms we're on: [LIST]
Don't invent items or prices. If something is unclear, put "CHECK" in notes.

Step 2: List every place your info lives (10 minutes)

Search your restaurant's name on Google and on each delivery app. Write every listing in the Platforms tab, including the person who has the login.

Step 3: Fix everything once (15 minutes)

Update each platform to match the master list:

  • Google: Business Profile โ†’ Edit profile โ†’ Hours. Use Special hours for holidays. (steps)
  • Yelp: Yelp for Business โ†’ Business information โ†’ edit Hours, and add special hours for specific dates. (steps)
  • DoorDash: Merchant Portal โ†’ Store availability โ†’ Edit menu hours; holidays go in Special hours and closures. (steps)
  • Uber Eats: Uber Eats Manager โ†’ Menu โ†’ pick the menu โ†’ Menu hours; holidays under Holiday hours. (steps)
  • Your website and social bios: update them by hand.

Step 4: The monthly 10-minute check

  1. Take a screenshot of your hours and a few menu prices on each platform.
  2. Upload the screenshots to ChatGPT with your master list and use Prompt #2.
  3. Fix anything flagged, then write today's date in the "last checked" column.

๐Ÿ“‹ Prompt #2: Screenshot mismatch check

Here is my master list of hours and prices, and screenshots of my listings on several platforms. Compare each screenshot to the master list. Make a table: platform, what it shows, what the master list says, and "MATCH" or "FIX". Only report what you can actually read in the screenshots; if a screenshot is unclear, say so instead of guessing.
Master list: """[PASTE]"""
[ATTACH SCREENSHOTS]

๐Ÿ“‹ Prompt #3: Holiday hours checklist

I'm changing my hours for [HOLIDAY/DATE]: [NEW HOURS]. Make me a checklist of every place to update, based on this platform list: [LIST]. For each one, add the date I should update it by (2 weeks before), and a short line I can post on Instagram/Facebook announcing the change.

๐Ÿ“‹ Prompt #4: Menu change announcement

I removed [ITEM] and added [ITEM] at [PRICE]. Write: (1) a one-line note for my staff, (2) a short Google Business Profile update, (3) a short Instagram caption. Don't invent details about the dish beyond: [DETAILS].

Your checklist

  • Master list built in Google Sheets
  • Every platform listed, with who has the login
  • All platforms updated to match once
  • Next holiday's special hours set everywhere
  • Monthly 10-minute screenshot check on the calendar

Part 2: Video Script (about 70 seconds)

Format: phone video, host with a phone and a laptop, screen recordings cut in. Captions on.

Time On screen Voiceover / on camera
0:00โ€“0:07 Host holding two phones showing different hours "Google says you close at 9. DoorDash says 10. Guess which one the customer believes?"
0:07โ€“0:20 Screen: Google Sheet with hours and menu tabs "Step one: make one master list. Hours, holiday hours, menu and prices, in a free Google Sheet. AI can build it from a photo of your menu."
0:20โ€“0:38 Screen: Google Business Profile special hours, then DoorDash Store availability "Step two: fix every platform once. Google, Yelp, DoorDash, Uber Eats, your website. Holidays go in special hours. If your POS feeds the delivery apps, change it there."
0:38โ€“0:55 Screen: uploading screenshots to ChatGPT, a MATCH/FIX table appears "Step three, once a month: screenshot each listing, upload it to ChatGPT with your master list, and ask what doesn't match. Then check it yourself and fix it."
0:55โ€“1:10 End card: "Line Check AI: free 5-minute checkup" with the URL "Ten minutes a month. Want to find your other money leaks? Take our free five-minute checkup. Link's right here."

Part 3: AI Chat Coach System Prompt

Members paste this into a ChatGPT or Claude Project as the project instructions.

You are "Sync Coach," a friendly, practical helper from Line Check AI. You help busy restaurant owners keep their hours and menu the same on every platform.

WHO YOU'RE TALKING TO
- Independent restaurant owners. Busy, non-technical. Plain words, short steps.

YOUR JOBS
1. Build a master list: hours, special/holiday hours, menu items and prices, and a platform list (who has each login, where hours are edited). Never invent items or prices; mark unclear things "CHECK".
2. Walk them through updating each platform:
   - Google Business Profile: Edit profile โ†’ Hours; Special hours for holidays/short closures (up to 6 days in a row); "Temporarily closed" for longer closures.
   - Yelp for Business: Business information โ†’ Hours; add special hours for specific dates.
   - DoorDash Merchant Portal: Store availability โ†’ Edit menu hours; Special hours and closures for holidays. If POS-integrated, change hours in the POS.
   - Uber Eats Manager: Menu โ†’ choose menu โ†’ Menu hours; Holiday hours for holidays. POS-integrated stores change hours in the POS.
   - Website and social bios: by hand.
3. Run the monthly check: compare uploaded screenshots to the master list, output a table (platform, shows, should be, MATCH/FIX). Only report what you can read; say when a screenshot is unclear.
4. Before each holiday, make a checklist with update-by dates and a short announcement post.

HARD LIMITS
- Never guess what a screenshot says. Tell the owner to verify every FIX on the platform itself.
- If unsure where a setting lives, say so and point to the platform's help center.
- You can't log into or change any platform; the owner does every update.
- Don't make up statistics.

STYLE
- Warm, short, step by step. End with the next step.
